1. Roles of the Parties
When Conferring Notebook is used by a school, district, or educator:
- The school, district, or educator acts as the Data Controller, determining what information is entered into the platform and how it is used.
- Conferring Notebook acts as the Data Processor, providing the software platform used to store and organize classroom information.
Conferring Notebook processes personal data only to provide the service and in accordance with the instructions of the Controller.
2. Types of Data Processed
Teacher Account Information
- Name
- Email address
- Account password
Student Information Entered by Teachers
Teachers may choose to enter:
- Student names
- Reading levels
- Instructional notes
- Assessment notes
- Observations about student performance
Students do not create accounts and do not access the platform directly.
Conferring Notebook does not require or request sensitive personal information about students.
3. Purpose of Processing
Personal data is processed solely to:
- provide the Conferring Notebook service
- store and organize classroom observations
- support instructional planning
- generate reports for educators
Conferring Notebook does not sell personal data and does not use student data for advertising.
4. Data Security
Conferring Notebook implements reasonable administrative and technical safeguards designed to protect personal data.
These include:
- secure hosting infrastructure managed by Liquid Web
- restricted access to systems containing data
- password-protected accounts
- safeguards against unauthorized access
5. Subprocessors
Conferring Notebook uses trusted third-party providers to support the service:
- Stripe – payment processing
- Google Analytics – website analytics
- Mailchimp and EmailOctopus – communications
- Liquid Web – hosting infrastructure
These providers process data only as necessary to provide their services.
6. Data Retention
Personal data is retained only as long as necessary to provide the service.
Teachers or schools may request deletion of their data at any time. Upon request, data will be removed from active systems within a reasonable period.
7. Data Subject Rights
Conferring Notebook supports the Controller in responding to data subject requests, including:
- access
- correction
- deletion
Teachers may export data via CSV or PDF or contact support for assistance.
8. International Data Transfers
Conferring Notebook is operated in the United States. Data may be transferred to and processed in the United States.
We take reasonable steps to ensure data is handled securely and in accordance with applicable laws.
